Integrating document management with HIMS, ERP and legal information systems brings documents and business data together on one platform.

A document management system (DMS) delivers the most value when it works alongside the core applications people already use. When documents sit in one platform and business data sits in another, users switch screens, search twice and still miss information. Integrating document management with systems such as a Hospital Information Management System (HIMS), ERP or a Legal Information System (LIS) brings records and data together. This article explains practical integration approaches and two real Somnetics use cases.

Why Document Management Integration Matters

Core business systems manage transactions and records, but supporting documents often remain separate. Common problems include:

  • Staff unable to access past documents from the system they work in.
  • Legacy files missing from newer business applications.
  • Data in two systems falling out of sync.
  • Manual re-keying and duplicated effort between departments.

Integration helps address these gaps, depending on each organization’s systems, data structures and processes.

Common Integration Approaches

Embedded Document Viewing

Documents stored in the DMS are displayed directly inside the core application, so users never leave their primary system.

Legacy Data Import

Historical records are exported from the existing system and captured into the DMS, filling gaps from earlier eras.

Real-Time Data Exchange

Secured services transfer data between systems as it changes, keeping both platforms current.

Bidirectional Linking

After documents are uploaded, the business application is updated with links to them, so each system references the other.

Use Case: DMS and HIMS Integration in Healthcare

At Tata Main Hospital, staff often could not readily access past records for outpatients or previously admitted patients, delaying doctors’ understanding of patient history. Somnetics delivered patient record management with system integration, integrating the i-doc DMS with the hospital’s legacy HIMS to bring past and present information onto one platform.

A Patient Record Viewer, powered by i-doc, was embedded in the HIMS. Doctors and medical staff can view a patient’s medical history, including OPD and IPD records, directly from the HIMS through an easy-to-use interface, supporting care with minimum response time in critical moments.

Use Case: DMS and Legal Information System Integration

Tata Steel’s Legal Information System lacked legacy case files from the pre-LIS era, and users struggled to access all case files and related data. Through database integration for seamless access, Somnetics studied the LIS data structure and integrated i-doc with the LIS using web services:

  1. Importing existing data: legacy case data was exported as JSON files and captured into i-doc through a script.
  2. Real-time transfer: a secured i-doc service receives live LIS data using JSON Web Tokens.
  3. Updating LIS from scans: uploaded documents are mapped to fetched data by a unique ID, and middleware updates LIS records with document links.

As a result, the i-doc and LIS databases stay in sync, users access case information in real time, and case metrics and documents are available in both systems.

Integrating Document Management with ERP

The i-doc document management system is designed to integrate with third-party applications such as ERP and CRM platforms, fitting into existing workflows. It also offers AI-driven search, customizable access controls, audit trails and workflow automation for approvals, routing and notifications.

Planning Your Integration

  • Map the data structures of both systems first.
  • Decide which documents need to appear inside which applications.
  • Plan how legacy records will be imported.
  • Secure every data exchange between systems.
  • Involve IT, business and compliance teams early.

Frequently Asked Questions (FAQs)

Q1. What is document management system integration?

Answer: Document management system integration connects a DMS with core business applications, such as a HIMS, ERP or legal information system, so documents and business data work together. Users can view related documents from the application they already use, while data moves between systems without repeated manual entry, searching across platforms or switching between screens.

Q2. Can a DMS be integrated with a legacy business system?

Answer: Yes. Somnetics integrated i-doc with a hospital’s legacy HIMS, embedding a Patient Record Viewer so staff could see past and present records in one place. In another project, legacy case data from a legal information system was exported as JSON files and captured into i-doc through a script, filling historical gaps.

Q3. How do you keep a DMS and another system in sync?

Answer: Combine real-time data exchange with linking. In the Tata Steel project, a secured i-doc service received live data from the legal information system, uploaded documents were mapped to that data by a unique ID, and middleware updated legal records with document links, so both databases stayed in sync automatically.

Q4. How is data secured when a DMS exchanges information with other systems?

Answer: Through secured services and platform-level controls. In the legal system integration, live data reached i-doc through a secured service using JSON Web Tokens, an open standard for passing information securely. Within i-doc itself, AES-256 encryption, customizable access controls and audit trails help protect documents once they are stored.

Q5. Can i-doc integrate with ERP and CRM systems?

Answer: Yes. The i-doc document management system is designed to integrate with third-party applications such as ERP and CRM platforms, fitting into existing workflows. Its underlying Seamless platform uses a modular architecture that supports integration with other enterprise systems. The right integration method depends on your specific applications and data structures.

Q6. How can we plan a DMS integration project for our organization?

Answer: Start by listing the applications involved, the documents users need inside each one and any legacy records to import. Then contact Somnetics to discuss your data structures, security requirements and integration options. Their team can help you evaluate how i-doc can connect with your HIMS, ERP, legal or other business systems.
